Top tips for catering a Birthday Party
No matter how creative you are, making your ideas a reality is another thing entirely. Every cook on the planet has had their fair share of disasters – even if you’re a professional – and when you’ve got someone’s special day to consider, a lot is riding on it.
Here are some key steps you should take into consideration when planning and creating the food for a birthday celebration. The tips you’ll find here won’t bind you to any specific style or theme, so you’ll be able to apply what you learn to just about any type of party.

Know your Special Person when catering a birthday party
While it’s easy to get lost in the excitement of the opportunity of planning and organizing the catering for a birthday event, there should always be one key element in mind – the person whose special day you’re planning for.
This is their day, after all, so you’re job is to cater to the foods and themes that they like. Asking them these sorts of questions should be your first port of call: what’s their favourite type of cake? Would they rather have a buffet-style affair, nibbles with cocktails or a sit-down meal? Will they choose to have their party in the daytime or evening? What are their favourite colours? Do they like a relaxed feeling or something more formal?
Collect this crucial information before you plan anything else – because it’s contingent on the day going well and your food being well received!

Age Groups
We’ve all seen the type of caterer who neglects to take notice of their target audience – kids probably aren’t much into your carefully selected cheeseboard, and vice versa for kids’ food at an adult birthday.
Before planning anything, understand who will be attending and whether you’re catering to adults or children. Maybe it’s a mix, in which case, ensure there’s something for everyone. You can even segment your delivery into two sections – one for the kids, and one for the adults. Kids cheese, hell yes. This may prevent you from worrying about what the kids will eat and help with not having to feed the adults things the kids will like (etc)

The Cake, tips when catering
The birthday cake is the showstopper to any birthday party, so it’s paramount you get this right.
There are many great recipes to choose from if you’re going at it yourself, but It’s often best to buy the cake from a cakes supplier. These services employ expert bakers to craft cakes to order, which takes a huge amount of pressure off you as a caterer. Many cake suppliers also produce an assortment of smaller cakes and treats you can use to spice up the spread.
As a cook, it’s always important to know when you’ve bitten off more than you can chew, and in many cases, taking on a spectacular-looking cake when you have the rest of the food to present is far too much. There’s no shame in outsourcing work – remember, your objective is to give the birthday person and their friends a spread they won’t forget in a hurry. If that means offloading some of the stress, then so be it!

Themes to think about when catering birthday parties
Getting the theme right is incredibly important for a birthday party. Usually, your goal is to add a ‘wow’ factor to the spread to impress the party when they come to eat, and so in this realm, every visual aid matters.
It can be overwhelming when first considering the aesthetics when catering, but, you should start with the basics.
Firstly, depending on the type of event the aesthetics will of course be different. For the seating arrangements for a sit-down event, ensure there are enough tables and chairs to seat everyone. I know that sounds strange but you don’t want to be pulling up a lounge chair to the table.

If you’re arranging a buffet, you might need to get creative with arranging the seating: a good rule of thumb is to create small clusters of chairs in an ark about the room for a more casual feel that allows for mingling.
Next are the colours and your theme: your tablecloths, flowers, place markers, bunting, streamers, hats, and napkins should all match the chosen colour pallet or theme for the rest of the party (you may need to consult with other planners for guidance here if multiple people are organising the party). There may be more flowers or greenery than balloons and streamers so this is where the input of others can get the creative juices flowing.

The final part is arranging the table(s) and finishing off the decoration to the theme. If I am still in the kitchen, I always get someone to help me with this part, I plan for this. Find a helper who can follow directions or has an eye for detail. If alone, do what feels aesthetically pleasing to your own eyes. Plan where you will put the food, if the platters or plates are the right size and fit on the tables, and how it will be served, (and by whom!). If it is a buffet this can be easier than trying to organise a sit-down dinner. You will need to organise who will carry food to the tables and clear them too. With a more informal canape party, I often find that everyone says they will help, but when the time comes they just want to join the party so, either choose people that will dedicate their time or hire a couple of people to help.

Most cakes cannot sit out for hours so ensure you have a cake table or some help to clear when you want to put the cake out. If the cake is going on the table alongside the food, for something like an afternoon tea, then this should likely be the main central element with everything else arranged around it (having the cake as a focal point can make it easier to arrange the rest of the food).
Safety First
Maintaining a clean working environment is paramount and something you will, of course, be acutely familiar with. Try to clear dishes and used items from work surfaces as often as each time you start a new job. One thing you mustn’t neglect is to learn of any allergies among the guests.
Some allergies like nut and dye allergies can prove fatal, so it’s crucial to gather this information before you start any of the preparations. Given the amount of cooking you’ll be doing, you’ll likely have an ingredient list as long as your leg: go through it meticulously and cross reference each ingredient with any potential allergens.
You should also always be aware to cater to any specific food preferences such as vegan diets or gluten-free – make sure there’s something on offer for every single one of the guests so that everyone can enjoy your food.

Wrapping up, extra tips for planning
Catering for a birthday party can be one of the most rewarding jobs for someone who loves cooking. It’s certainly not easy, but having your basics covered saves you from getting anywhere near ‘panic mode’ when you get into the kitchen.
Try to plan a menu that allows you to do some prep ahead and dress or finish dishes on the day. Be aware that if everything needs to be baked or warmed in the oven then things will not run smoothly. Look at space, equipment and refrigeration ahead of time when planning a menu. I like to create a list of all the hot and cold foods and write a lengthy preparation list that I break down into days. I also choose platters plates and bowls and plan and organise the food according to what I have available to me. I check if I have enough serving utensils, cutlery and plates way ahead of the time before I need to get my head into the cooking.
Getting the planning down means you have time to work your magic as a creator and deliver an experience everyone will remember!
